Privacy Policy
Life on Rotation is a rotation calendar for people who work away on rotations. It is made by KO Technical Consulting, LLC, a Texas limited liability company doing business as Life on Rotation ("we", "us"). This policy explains what Life on Rotation stores, where, who can see it, and how you can delete it. We wrote Life on Rotation to store as little as possible.
1. Data that stays on your phone
Your rotation, swaps, plans, crew change travel, tickets and card photos, packing list, money figures, receipts and hours, and the home state you pick for hunting seasons, are stored in your browser or the app on your device. We don't receive them unless you choose one of the options below.
2. Share links
When you share your rotation, Life on Rotation stores a sealed copy on our sync server so the people you give a link to can see it and it stays up to date. Your phone encrypts the copy before it leaves, with a key that travels only inside the link (the part after the # sign, which browsers never send to any server). We cannot read it, and neither can anyone who got into our database. Each link holds:
- your first name (as you typed it), your rotation pattern and your swaps;
- only the extras you switch on for that link: plans, crew change travel (without booking references), day/night shifts, ticket names and expiry dates, a good time to call (your shift hours and work time zone), your honey-do list, your "while I'm away" sheet (the lines you write for the people at home), and whether a hurricane watch is on. Days you mark as no signal are on every link.
A kids' link shows only the countdown and your first name. Your pay, savings, receipts and hours are never on any link or shared picture.
People on a link. When someone opens your link, their phone asks for their name and registers with that link. We store the name they typed, a key for their phone (hashed), when they joined, whether you have allowed, paused or ended them, and any switches you set for them. You can allow, pause, set an end date for or remove each person in the app; a removed person's phone and calendar subscription stop at once. Older links that were opened before this existed stay open to anyone with the link until your app syncs.
Each link you copy lets one person in. When you tap Copy or QR, your phone registers a one-time invitation on the server; the first phone that opens it and gives a name takes it, and it cannot be used again. Unused invitations expire after 14 days. Stopping a link deletes its sealed copy, and everyone on it, from the server straight away. A person's app may keep the last copy it saw on their device.
Calendar subscriptions. If someone adds your rotation to their calendar app, that app fetches it from our server every few hours with the key in the address, because calendar apps cannot run our code. The server opens the copy in memory for that one request and does not keep the key. The same applies to My live calendar.
3. My live calendar
If you turn on My live calendar, Life on Rotation stores your rotation, all your plans, your travel, your ticket names and expiry dates, and the games you follow, shows you've added and your camp days, under a private link, so your calendar app can subscribe to it. Treat that link like a password. Turning it off deletes it from the server.
4. Accounts
If you create an account, we store:
- your email address (readable by us, so you can sign in);
- a value derived from your password. Your password itself never leaves your phone, and we can't work it out from what we store;
- your Life on Rotation data, encrypted on your phone with a key we never see. We can't read it;
- sign-in sessions (deleted after 60 days) and a short-lived count of failed sign-ins (deleted after 15 minutes).
Because we can't read your data, we can't recover it for you. If you lose both your password and your recovery code, your account data is lost. Data still on your phone is not affected.
5. Microsoft 365 (optional)
If you connect Microsoft 365, your phone talks to Microsoft directly. Life on Rotation writes your rotations, days off, plans and travel into a "Life on Rotation" calendar in Outlook, can set your out-of-office and Teams status, and can save a backup file to your OneDrive. The Microsoft sign-in stays on your phone and does not pass through our servers. Microsoft's own privacy terms apply to data in your Microsoft account. You can disconnect at any time in the app.
6. Sponsors and affiliate links
The hunting seasons card can show one sponsor and a few affiliate links, each labelled. Your phone downloads the full list from our server and picks what to show from the state and seasons you chose, so we don't learn your choices from this. Your phone sends us, once a day, only how many times each item was shown and tapped, with your state. It sends no name, account or device identifier, and we don't store your IP address with it. Sponsors see only these totals. If you tap a link, the sponsor's or store's website has its own privacy policy, and an affiliate store may know that you came from Life on Rotation.
7. Reminders, weather and usage counts
- Reminders (optional). If you turn them on, your phone writes each reminder and encrypts it with your phone's own push key before uploading it. Our server stores the sealed reminders, the time to send each one, and the push address your phone's maker (Apple, Google, Microsoft or Mozilla) gave it, then passes each reminder to that service when it's due. We can't read the reminders. Turning reminders off, or Delete everything, deletes them from our server.
- Weather. The forecast comes from the US National Weather Service (weather.gov). Your phone asks it for the middle of the state or zone you picked for hunting seasons or golf, never your own location.
- Calendars you follow. When you follow a team, school or league calendar, its link goes to our server, which fetches the calendar and passes it back to your phone. We keep a copy of that public calendar for up to an hour so it loads faster, and we don't record who asked for it. Your list of calendars, the events you add, school breaks and golf courses stay on your phone.
- Other people's rotations on your calendar. When someone gives you their share link and you paste it under Crew & family, your phone reads that link the same way their family does. The list of links you follow stays on your phone; we don't record who follows whom.
- Hurricane tracker. If you turn it on, your phone asks our server for the National Hurricane Center's public storm feed. We keep a copy for a short time so it loads faster and don't record who asked.
- Track flight opens a web search in your browser with the flight number. Nothing about it goes to our server.
- Lease & camp groups. If you start or join one, our server keeps the group's name, the name you join with, your home stretches for the next few months (the dates only, not your rotation or anything else), the camp days you add, the costs you add, and any rides you offer (where from, the day, seats) or seats you take, so the group can see who's home, who's driving and who owes who. Anyone with the current invite link can join; only members can see the group, and the organiser can remove people and replace the link. Leaving a group removes your details from it. Groups are deleted 400 days after the last change. No money moves through Life on Rotation.
- Feedback. When you send feedback from the app, our server keeps your message, the app version, the kind of device (iPhone, Android or computer) and the language, plus a name or email only if you typed one. Nothing else identifies you. Feedback is deleted once we've dealt with it, or after 400 days.
- Usage counts. Once a day your phone tells our server it was used, with the hunting state you picked (if any), what you work on (if you picked it, like "offshore wind"), the days-off interests you picked (like "golf"), whether it's your own rotation or a link you follow, and whether Life on Rotation is installed on the home screen. It sends no identifier, and we keep only daily totals, which we may share with sponsors as totals.
8. Notes, honey-do jobs and alerts from family
- Notes and honey-do jobs a family member sends from your link are encrypted on their phone with a key that only your phone holds. Our server keeps the sealed note until your phone picks it up, then deletes it. Unopened notes are deleted after 60 days. Voice notes are kept only on the phone that received them.
- The honey-do list itself (each job, who added it, and whether it's done) is shown on the family links you choose, like your plans.
- Alerts ("leaving the rig", "landed", "you can see it now"): if a family member turns them on, we store their phone's push address with your link so your phone can send them alerts. Your phone seals each alert so our server can't read it. If your link asks before letting people in and your reminders are on, your phone also leaves one sealed "someone asked to see your rotation" alert on the server, which we send to you when a request comes in. Stopping a link deletes its notes, alerts and keys.
9. What we don't do
- We don't sell or rent personal data, and we don't share it for advertising.
- We don't use ad networks, analytics services or tracking. The daily usage counts above are the only counting we do. Sponsor and affiliate items never load anything from the sponsor's servers.
- We don't ask for your employer's confidential information. Please don't put it in Life on Rotation.
10. Where data is stored
Our sync server runs on Cloudflare, Inc., which may store and serve data from data centres in the United States and other countries. Cloudflare processes it on our behalf under its data processing terms.
If you install Life on Rotation from Google Play or the App Store, the store app is the same web app in a thin shell. The store itself (Google or Apple) may collect its own install and crash data under its own privacy policy; we don't receive it.
11. How long we keep it
- Share links and My live calendar: until you stop them, delete everything, or delete your account.
- Account data: until you delete your account. It is then deleted from the live system straight away; copies may take up to a minute to disappear from Cloudflare's caches.
- Data on your phone: until you delete it with Delete everything or remove the app.
12. Your choices and rights
- See and export: Export my data saves everything on your phone to a file.
- Delete: Stop sharing for a link, Delete account, or Delete everything in the app.
- Questions or requests: email us at info@lifeonrotation.com. We reply within 30 days.
Depending on where you live, you may have more rights under local law, such as the Texas Data Privacy and Security Act or the GDPR. Contact us to use them.
13. Security
Connections are encrypted (HTTPS). Account data is encrypted on your phone with AES-256 before upload, and passwords are processed on your phone with PBKDF2 (310,000 rounds). No system is perfectly secure. If a breach affects your personal information, we will tell you as the law requires.
14. Children
Life on Rotation is for adults 18 and over. We don't knowingly collect data from children under 13. If you think a child has given us data, contact us and we will delete it.
15. Changes
If we change this policy, we will update the date above and show a notice in the app for important changes.
